Operations & Delivery Lead

You'll run the machine that makes great work possible.

You’ll own project delivery, lead the team, and build the systems that let us do our best work for brands making the world better.

We need someone who makes sure the work ships — on time, on budget, and at a quality that makes clients want to tell their friends. 

You’ll take over once a client signs and own everything from project planning to final QA. You’ll architect and build HubSpot solutions for clients. You’ll manage the people doing the work. You’ll build the processes that make delivery repeatable. And on occasion, you’ll join pre-sale conversations to advise on technical feasibility and solution design.

This is a leadership role at a small, growing agency (~6 people), which means you’re a player-coach. You won’t just manage — you’ll be hands-on with delivery, CRM architecture, problem-solving, and process-building every single day. You’ll need to be the person who catches what others miss and sees problems forming before they arrive.

What You'll Own

Five pillars, one mission: deliver excellence.

Own timelines, budgets, and quality across all active client engagements. Run delivery standups, manage scope, and conduct QA reviews

Design portal architecture, data models, integrations, and automation for client and internal HubSpot instances

SOPs, PM tooling, capacity planning, vendor management, internal reporting, and workflow automations.

Manage direct reports, run 1-on-1s, hire and onboard team members and freelancers.

As-needed pre-sale technical scoping, feasibility assessment, and solution design.

Day to day this looks like:

Running the weekly delivery standup and keeping every project’s status visible and current

Designing HubSpot portal architecture for clients — data models, lifecycle stages, integrations, and automation strategies

Hands-on building and configuring client HubSpot portals: workflows, custom properties, reporting dashboards

Reviewing deliverables before they go to clients — you’re the last set of eyes

Tracking project budgets and delivery margins so we know what’s profitable and what’s not

Taking the handoff from Tracy after a deal closes and translating scope into a project plan with clear assignments

Joining pre-sale calls when needed to advise on technical feasibility and help scope CRM engagements accurately

 

• Facilitating project retrospectives after engagements wrap — capturing what worked, what didn’t, and making sure we get better every time

Running post-project client satisfaction surveys and turning that feedback into delivery improvements

Owning the project management tool — configuring it, driving adoption, making it the single source of truth

Building SOPs for everything: kickoffs, reviews, handoffs, scope changes, escalations

Sending Tracy a weekly ops report so she always knows the state of every engagement

Managing Greenfire’s own HubSpot instance — making our internal tools as good as what we build for clients

Managing team capacity — knowing who’s overloaded, who has bandwidth, and when to bring in a freelancer

Role requirements:

Obsessive about details and wired to anticipate — you spot what’s wrong today and what’s about to go wrong next week. Your instinct isn’t to react to fires; it’s to prevent them.

HubSpot solutions architecture experience — you don’t just know HubSpot, you architect it. Portal design, data models, lifecycle stages, integrations, and automation — you can talk strategy AND build it yourself.

Agency operations experience — you’ve managed project delivery at a marketing, creative, or HubSpot agency and know the rhythms of client work

People leadership — you’ve managed a team (even a small one) and know how to coach, give feedback, and create clarity

Process-builder mindset — you see a mess and your instinct is to create a system, not just fix the one thing in front of you

Client delivery chops — you can manage scope, timelines, and budgets while keeping clients happy and teams sane

Comfortable with difficult conversations — you can tell a client their timeline is slipping or push back on scope creep without breaking the relationship



Who excels in this role? Top performers will demonstrate:

HubSpot Solutions Architect certification or Solutions Partner experience

Experience with HubSpot API, custom objects, and complex integration design

Experience with automation tools like n8n, Zapier, or Make

Familiarity with project management platforms (ClickUp, Teamwork Projects, etc.)

Pre-sale technical scoping or sales engineering experience

Experience managing freelancers and contract talent

Passion for purpose-driven business, B-Corps, or sustainability
